Policies

Enrollment

• The online enrollment form must be submitted for every session in which the student wishes to participate. 
• The enrollment deadline is two weeks before the start of each session, however, enrollments will still be accepted through the session start date if space remains.
• Returning students are given first priority for studio space. All other enrollments are filled on a first-come, first-served basis.
• If you experience difficulty with the online enrollment form or prefer to enroll over the phone, please email or call the OBU Music Preparatory Department at prep@okbu.edu or 918-721-3754 and we will be happy to assist you.

Payment

• Payment must be received before participation may occur.
• If choosing monthly payments, you are still responsible for the full semester/full session amount, to be paid in four equal installments. Participants selecting monthly payments abide by the refund policy (below) which will be calculated based on the full semester/session amount. 
• Monthly payments may be made via the link provided in reminder emails.
• If you experience difficulty with payment or have questions, please email or call the OBU Music Preparatory Department at prep@okbu.edu or 918-721-3754 and we will be happy to assist you.

Refunds

If you must withdraw, please contact your instructor and the Preparatory Department (918-721-3754 or prep@okbu.edu) at or before the last lesson/class you will attend and, where applicable, submit a refund request. Tuition refunds will be administered using the following guidelines:

Fall and Spring Semesters

• From registration to the week before classes begin: Full refund minus $25 registration fee
• Week 3: 75% refund
• Week 6: 50% refund
• After Week 6: no refund possible

Summer Session

• From registration to the week before classes begin: Full refund minus $25 registration fee
• Week 1: 75% refund
• Week 2: 50% refund
• After Week 2: no refund possible

Choir Auditions

• The Shawnee Honor Choir (3rd–7th grade or ages 8-13) requires an audition prior to entry.
• Audition dates are posted on the prep calendar and consist of pitch matching, rhythm games, and singing "Happy Birthday."
• Auditions are free but require a reservation. Please call 918-721-3754 or email prep@okbu.edu to reserve your audition slot.

Scheduling

• Private lessons are scheduled directly between the instructor and the student.
• Your assigned instructor will contact you within two weeks before the session start date to schedule your weekly lesson.
• When scheduling your lesson, please provide as many scheduling options as possible to the instructor.
• Your lesson day/time may not be changed after the second week of the session.

Missed Lessons

• Teacher absence
• School closing due to inclement weather

Communication

• You must be able to be reached easily through the modes of communication that you provide on the enrollment form.
• All communication between enrollees or their families and the OBU Music Preparatory Department faculty may be shared with department administration.

Instruments

• Students will receive weekly assignments that require consistent, daily practice.
• The OBU Music Preparatory Department therefore requires that the student owns, rents, or has daily access to their instrument.
• If you need recommendations of where to buy or rent an instrument please call us or email us at 918-721-3754 or prep@okbu.edu and we will be happy to assist you.
• We also have a limited number of loaner instruments available. Please call or email for more information.

Behavioral Expectations

• Inappropriate behavior
• Perceived hostile or threatening behavior
• Habitually inadequate preparation for lessons
• Repeated absences
• Any other circumstance that detracts from a positive learning environment

In such cases, tuition will not be refunded. By enrolling in the OBU Music Preparatory Department, you agree to abide by all decisions of the Department in these matters. 

Releases

• Enrollees and their families agree to indemnify and hold Oklahoma Baptist University harmless from any liability incurred by the Preparatory Department, its employees, or persons on the premises.
• By enrolling in the OBU Music Preparatory Department, you give permission to Oklahoma Baptist University, and to whomever it sends releases, to use the name and photographic likeness of enrollees in all forms and media for news releases and articles, website depictions, promotional materials, advertising, trade, and any other lawful purposes unless we receive express written notification to the contrary.
